Approver Groups and Approval Rules (Any One vs. All Must Approve)

A single approver is a single point of failure, whether they are on vacation, in back to back meetings, or simply slow. Approver groups spread the responsibility, and the approval rule decides how much agreement you need.

Setting Up an Approver Group

  1. On the Approvers tab, add a group and name it, such as "Legal Team" or "Finance Approvers."
  2. Add each member's name and email.
  3. Click the rule chip on the group to switch between the two modes.

Choosing Between Any One Approver and All Approvers

  • Any one member approves: The first member to approve clears the gate for everyone. This option is fast and resilient to vacations, making it ideal for routine reviews where any qualified reviewer can make the decision.
  • All members must approve: Every member must individually sign off before signing begins. This option is slower but more rigorous, making it suitable for high stakes agreements where multiple stakeholders must review and approve the document.

What Happens After You Submit for Group Approval

All group members are notified at the same time. Under Any one member approves, the request advances as soon as the first approval is received, and the remaining members are no longer required to respond. Under All members must approve, the detail page tracks each member's pending and approved status until the entire group has completed the review. Every individual decision is recorded in the audit trail.
