How to Create and Switch Workspaces
You can set up a new workspace in a few minutes from Settings → Workspaces, then move between workspaces from the top navigation. If you are new to the idea, read what an Inkfree workspace is first. Workspaces are available on the Basic, Standard, and Business plans, and only admins can create or change them.
Creating a Workspace
- Open Settings → Workspaces.
- Create a new workspace and give it a name your team will recognize, such as "Sales", "Acme Corp", or "EMEA".
- Add the people who should work in it and choose the role each one holds inside this workspace. If someone is not part of your Inkfree account yet, invite them to the account first.
- Turn on Use custom branding for this workspace and add a logo and colors. Leave it off to use your account branding.
- Switch to the workspace from the top navigation and start sending.
Switching Workspaces
Your active workspace is shown in the top navigation. Open Select active workspace and pick another workspace you belong to. Choose Personal (no workspace) to work outside any workspace.
Keep an eye on the active workspace before you send. Sign requests and their folders are created in whichever workspace is active, and they stay there. Templates are shared across the account, so you can send any template from any workspace.
Renaming, Archiving, and Restoring
Everything is managed from the same Settings → Workspaces hub:
- Rename a workspace when a team or client changes its name.
- Archive a workspace you no longer need. The Default workspace cannot be archived.
- Restore an archived workspace when you need it again.
Tips for a Clean Setup
- Name workspaces after the group, not the person. "Finance" still makes sense after the person who asked for it moves on.
- Give each member the smallest role they need in each workspace. Someone can send in one workspace and only view in another.
- Keep account-level settings in one place. Seats, billing, and default document settings belong to the account, not to a workspace.
