What Is an Inkfree Workspace?
A workspace is a separate space inside your Inkfree account. Each one keeps its own sign requests, members, and roles, so teams, clients, or business units can work side by side without seeing each other's documents. The subscription, seats, and billing stay with the account, not with any single workspace.

When Should You Use Workspaces?
Use a workspace whenever a group of people needs its own document list and its own look. Common setups:
- One per department, such as Sales, HR, and Legal, so each team only sees the requests it sends.
- One per client, for agencies and firms that send on behalf of several customers, each with that client's logo and colors.
- One per business unit or region, when separate entities share a single subscription.
The Default Workspace
Every account starts with a Default workspace. Anything you sent before creating other workspaces lives there. The Default workspace is always available and cannot be archived.
Creating and Renaming Workspaces
Admins manage workspaces from Settings → Workspaces. From that hub you can create a new workspace, give it a clear name, and rename it later as your structure changes. The step-by-step guide walks through the full setup.
Switching Between Workspaces
The workspace you are working in is shown in the top navigation. Open Select active workspace to jump to another one you belong to, or choose Personal (no workspace) to work outside any workspace. New sign requests are created in whichever workspace is active at the time.
Members and Roles in Each Workspace
Each workspace has its own member list. Admins choose who belongs to it and which role each member holds there, so a person can manage requests in one workspace and only view them in another.
Branding Per Workspace
Per-workspace branding is part of custom branding, which is available on the Business plan. On Business, turn on Use custom branding for this workspace to give a workspace its own logo and colors. Signers who receive requests from that workspace see its branding instead of the account-wide signing experience. Leave it off and the workspace uses the account branding.
What Stays Separate and What Is Shared
- Separate per workspace: sign requests and the folders that hold them, the member list, roles, and (on Business) branding.
- Shared across the account: templates, the subscription, seats, and billing.
Because templates are shared, you build a template once and every workspace can send it.
Archiving and Restoring a Workspace
When a project ends or a client leaves, archive the workspace from Settings → Workspaces. Archiving retires the workspace without deleting its sign requests. If you need it again, restore it from the same page. Any workspace except the Default one can be archived.
