How to Send a Document With a Web Form

Once a web form exists, you attach it to a recipient at the moment you send. The rest of the send is unchanged: same upload, same fields, same signing order, same finished record.

Start From the Template

Web forms are only offered on requests created from a template. A form is built against a specific template and a specific signer role, so Inkfree needs to know which template you are sending in order to match the two up.

If you start a request by uploading a fresh file, the Web forms section will not appear at all. Send from the template instead, following how to send a document for signature.

Assigning a Form to a Signer

  1. Create the request from the template your form was built on and move through to the configuration step.
  2. Find the Web forms section, described as Collect answers before a signer signs. The badge on the right reads Not in use until you assign something.
  3. Switch on Use Web Form for signers.
  4. Each recipient now shows a dropdown. Choose the form that person should complete.
  5. Send the request as usual.

Each dropdown only offers forms built for that recipient's role, so you cannot accidentally send the landlord's questions to the tenant. A recipient with no matching form shows No web form available for this signer, and the choice is optional for everyone, so you can leave a recipient without one.

Tip: Assign the form to whichever party has the most to type. Giving a form to a countersigner who only adds a signature adds a step without saving anyone time.

What the Signer Sees

The signer's notification arrives with two links: the usual signing link, and a fill-and-sign link that opens the web form. That second link is tied to one request and one signer, so their answers can only ever be written to their own fields on their own document.

When they submit the form, two things happen at once. Their answers are written into their fields on the document, and they are taken straight to the signing page for that same document. Filling and signing run back to back rather than as two separate errands.

If they open the signing link first and never touch the form, that is fine. The form is recorded as skipped and they complete the fields on the document itself, exactly as they would without a form.

Working With Signing Order

Assigning a form does not change signing order. Each recipient is notified when their turn arrives, and if they have a form, their notification carries the fill-and-sign link at that point. A signer with a form waits their turn just like anyone else.

After It Is Signed

Nothing about the finished record changes. The completed document carries the same audit trail and Certificate of Completion as any other Inkfree send. The web form is how the details were collected, not a different way of signing.
