How to Send Your First Document for Signature

Jul 30, 20261 min read

Sending a document for signature is the heart of Inkfree, and the entire flow takes under two minutes once you've done it twice. This walkthrough covers every step in detail, from upload to send.

Step 1: Upload Your Document

1.  Click Create Request in the sidebar.

2.  On the Select documents to be signed screen, drag your PDF or Word file into the upload area, or click to browse your computer.

 3.  Need to send several files together? Add them all — signers receive them as a single package and sign in one sitting.

4.  Click Next

Note: Word documents are converted to PDF on upload, so the layout your signers see is locked exactly as you sent it.

Step 2: Add Your Signers

1.  On the Approvers and Signers step, enter each signer's name and email address.

 2.  Leave the role dropdown as Need to Sign for people who must sign. Choose the CC option for anyone who should simply receive the final copy.

3.  To control the sequence, tick Set Signer's order — signers are then notified one level at a time.

4.  To verify a signer's identity, open the security dropdown on their row and pick Email OTP or Access Code

Tip: Saved contacts autocomplete here. Add your frequent signers to Contacts once and never type their details again.

Step 3: Place the Fields

1.  Click Next to open the Sign Request Editor

2.  Select a signer, then drag fields onto the page: signature, initials, date, text, checkbox.

3.  Fields are color-coded per signer, so you can see at a glance who fills what.

4.  Repeat for each signer and each page that needs fields.

Step 4: Write Your Message and Send

1.  In the Email Content section, customize the Email Subject and add a brief message for your recipient, if needed.

2.  Review the Email Preview panel to confirm how your notification will appear. If everything looks correct, click Review and Sign to verify the document, then click Send to deliver the sign request.

What Happens Next

Each signer receives an email with a secure signing link. They can sign from any device without creating an account. You'll be notified as each person views and signs, and when the last signature lands, everyone automatically receives the final document plus the certificate of completion.
